1. Who we are

Jack Frost Events (trading name of The Bouncy Castles Sales Co / Pineapple Leisure) hires Santa's grottos, meet & greet displays and Christmas props to businesses and individuals across the UK. For the purposes of data protection law, we are the "data controller" of the personal information described in this policy.

2. What information we collect

We only collect information that you give us directly, or that is generated automatically when you use our website. This includes:

• Booking & enquiry details – your name, company name, email address, telephone number, event address and details of the items or dates you're enquiring about, when you contact us by phone, email or through a form on this site.
• Newsletter sign-up – your email address, if you choose to join our mailing list.
• Payment information – if you pay a deposit or invoice, your payment is handled directly by our payment or banking provider. We do not store your full card details ourselves.
• Website usage data – standard technical information such as your IP address, browser type, device type and pages visited, collected automatically via cookies and analytics (see our Cookie Policy for details).

3. How we use your information

We use your information to:

• respond to enquiries and provide quotes;
• arrange, deliver, install and collect hired items, and take payment for them;
• send you booking confirmations and updates relevant to your event;
• send our newsletter, only if you've asked to receive it – you can unsubscribe at any time;
• understand how our website is used, so we can improve it; and
• meet our legal and accounting obligations (for example, keeping invoice records).

4. Who we share your information with

We don't sell or rent your personal information to anyone. We may share it with:

• trusted suppliers who help us run our business, such as our website host, email and newsletter provider, and payment or accounting software providers;
• our staff and Santa/grotto performers directly involved in delivering your booking, where they need your details to do so; and
• authorities such as HMRC or law enforcement, where we're required to by law.

Some of the tools we use (for example Google Analytics and YouTube, embedded on our Gallery and Videos pages) are provided by companies based outside the UK. Where this involves transferring data internationally, those providers are required to have appropriate safeguards in place.

5. How long we keep your information

We keep enquiry and booking information for as long as reasonably needed to deliver your event and deal with any follow-up questions, and generally no longer than 7 years afterwards to meet our accounting and tax obligations. Newsletter email addresses are kept until you unsubscribe. Website analytics data is retained by our analytics provider in line with their own retention settings.

6. Your rights

Under UK data protection law, you have the right to:

• ask us for a copy of the personal information we hold about you;
• ask us to correct anything that's inaccurate or incomplete;
• ask us to delete your information, in certain circumstances;
• ask us to restrict or object to how we use your information;
• ask for your information to be moved to another organisation, where technically possible; and
• withdraw consent at any time (for example, by unsubscribing from our newsletter), without affecting anything we did while consent was in place.

To exercise any of these rights, just contact us using the details in section 1. If you're unhappy with how we've handled your information, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

7. Keeping your information secure

We take reasonable technical and organisational steps to protect the personal information we hold from loss, misuse or unauthorised access, and we limit access to it to people who need it to do their jobs.

8. Children's privacy

Our services are aimed at businesses and adults organising events. We don't knowingly collect personal information from children through this website.

9. Changes to this policy

We may update this policy from time to time, for example if we start using a new supplier or tool. Any changes will be posted on this page with an updated date at the top.
